Layer 3 · Capture

A lead generation system you own, not leads you rent

Forms, calls, chat, and inbox inquiries landing in one place, qualified against your criteria, and reaching the right person with the context they need.

  • One record for every inquiry, whatever channel it arrived on
  • Qualification that runs before a human sees it
  • Source data retained all the way to the closed deal

There is a difference between buying leads and building a lead system, and it is the difference between renting and owning. An appointment-setting agency sells you contacts. When you stop paying, the contacts stop. Nothing has accumulated.

A lead generation system is infrastructure. It captures demand from every channel you have, records it once, qualifies it against criteria you set, and hands it to the right person with the context attached. It keeps working when you change agencies, and the data it produces is yours.

Referrals are a valuable channel, but not one a business can schedule or forecast precisely. Recording them properly and adding a controllable channel creates more evidence and more options when the business wants to grow.

Fit

Who this is for

A good fit

  • Inquiries arrive through more than one channel and live in more than one place.
  • You cannot produce last month’s inquiry count in under five minutes.
  • Phone is a significant channel and it is not recorded anywhere.
  • Your pipeline is mostly referral-driven and you want a channel you control.

Not a fit

  • You want a list of purchased contacts or cold outreach run on your behalf.
  • You need volume above all and do not care what happens after capture.
  • You are pre-revenue with no demand to capture yet.

Symptoms

You're in the right place if

  • Leads arrive through four different channels and live in four different places.
  • You find leads by searching your inbox.
  • Nobody knows how many inquiries came in last month without counting manually.
  • Phone inquiries are recorded when someone remembers to write them down.
  • The website form sends an email and that is the entire system.
  • Your pipeline is almost entirely referral-driven and you cannot make referrals happen faster.

Scope

What gets built

01

Unified intake

Web forms, phone calls, chat, email, and any third-party marketplace you use, all landing in one record with the source attached. The point is not tidiness. It is that anything not recorded in one place cannot be measured, followed up, or improved.

02

Qualification logic

Criteria that separate a real opportunity from a tyre-kicker, applied before a human spends time on it. Usually a short set of questions in the form, scored against rules you set, so the sales-ready inquiries surface immediately and the rest go somewhere sensible rather than nowhere.

03

Validation, spam handling, and reliability

Server-side validation, rate limiting, honeypots, duplicate detection, and delivery confirmation. A form that silently drops inquiries damages both acquisition spend and trust, so failure handling is part of the build rather than an afterthought.

04

Source and campaign retention

The channel, campaign, and landing page that produced the inquiry, carried through to the CRM and preserved to the closed deal. Without this, every future budget decision is a guess.

05

Acknowledgement

Every inquiry gets a confirmation that sets expectations about what happens next and when. It is a small interaction that removes uncertainty at an important handoff.

06

The channels themselves, where they make sense

Landing pages, lead magnets, and conversion paths for the channels you are actually going to run. Built as owned assets on your domain, not rented pages on someone else’s platform.

Process

How the work runs.

01

Map every entry point

Web forms, phone, chat, email, and any marketplace you use. I test each one end to end, including delivery and failure cases, rather than treating a successful browser message as proof.

02

Define qualified

The criteria that separate a real opportunity from a tyre-kicker, written down and agreed before anything is built.

03

Build unified intake

One record per inquiry with its source attached, server-side validation, spam handling, duplicate detection, and delivery confirmation.

04

Wire attribution through

Channel, campaign, and landing page carried into the CRM and preserved to the closed deal, so future budget decisions have evidence behind them.

Outcomes

What changes, and what does not.

These are the kinds of change this work produces. No numbers appear here, because no client result has been measured and published yet. When one has, it will appear in Work with its baseline, method, and time window.

  • Every inquiry is recorded once, in one place, with its source attached
  • Inquiry volume by channel becomes a number you can read rather than estimate
  • Qualification happens before a human spends time on it
  • Silent form failures become visible instead of invisible
  • Phone inquiries are represented alongside digital inquiries where the selected setup supports it

Tooling

Tools this typically connects

Categories, not endorsements. You own the accounts and the data.

Intake

  • Custom web forms
  • Call tracking
  • Live chat
  • Inbound email parsing

Storage

  • Your CRM
  • Airtable
  • Notion
  • Google Sheets for interim states

Verification

  • Email validation
  • Phone validation
  • Address lookup

Workflow

  • Zapier
  • Make
  • n8n
  • Direct API integrations

What this is not

  • It is not a list of purchased contacts, and it is not cold outreach on your behalf.
  • It is not a guarantee of lead volume. Capture systems make sure you keep what you get; demand and conversion are separate layers.
  • It is not a single form on a page. If that is genuinely all you need, the audit will say so.

The connected view

This sits inside the diagnostic path.

A growth system is only as strong as its weakest handoff. Fixing one checkpoint in isolation helps only if the adjacent checkpoints can carry the result.

How is this different from buying leads?

Bought leads stop the month you stop paying, and the data belongs to the seller. A lead system is infrastructure on your own domain and in your own accounts. It keeps running, and the record of what worked stays with you.

We only get leads by referral. Is that a problem?

Referrals are a valuable foundation, but they cannot be scheduled or forecast precisely and cannot be scaled on demand. The first job is to capture and measure them properly, then decide whether adding one controllable channel is justified.

Do we need to replace our website to do this?

Often not. Intake, qualification, and routing can be built onto a website that is otherwise fine. Whether the site itself is the constraint is a conversion question, and the audit answers it before anyone proposes a rebuild.

What about phone calls?

Phone can be a high-intent channel and is easy to leave outside the reporting path. Where appropriate and consent requirements are met, calls can be recorded as inquiry events with source context so they are represented alongside web inquiries.

Your practical starting point

Find out how many inquiries you are actually losing.

The audit traces every path an inquiry can take into your business and shows where they go missing, get delayed, or arrive without the information anyone needs to act on them.
